Spring Wellness Retreat – Terms and Conditions
These terms
The Meadows at Shotesham Park Estate (the “Wellness Retreat”) is a private wellness retreat facility available for hire. These terms are the terms and conditions on which we make the Wellness Retreat available for hire by our customers. Please read these terms carefully before you make a booking with us. These terms tell you who we are, how we will provide our services to you, how you and we may change or end the contract, what to do if there is a problem and other important information.

The Wellness Retreat is operated by Shotesham Park Estate which is a partnership whose principal place of business is Shotesham Park, Shotesham St Mary, Norwich, NR15 1XA.You can contact us by email at info@shoteshampark.co.uk.You can also write to us at the address above.
Booking and Payment
• Booking and Reservation: Bookings can be made online by following the booking link provided. A reservation is considered confirmed upon receipt of the completed registration form and a full payment. If we are unable to accept your order, we will inform you of this by e-mail and will not charge you for the booking. Bookings are not transferable to any other person except with our prior permission. If you are making a booking on behalf of a group, it is your responsibility to make all users aware of these terms and conditions.
• Payment: The full retreat payment is due upon booking. Payments can be made online via a third-party payment processor (such as Stripe or PayPal) using your debit or credit card. Prices are inclusive of VAT.
• Late Payment: If the full payment is not received by the due date, the retreat organizers reserve the right to cancel the booking.
Cancellations and Refunds
Cancellations by Participants: No refunds will be issued for cancellations made within 60 days of the retreat.
Cancellations by Organizers: If the retreat is cancelled by the organizers for any reason, participants will be offered a full refund or an alternative date for the retreat.
Please note that as booking for the Wellness Retreat are a contract for hire for a particular date the cancellation rights available to consumers under the Consumer Contracts Regulations 2013 do not apply.
Travel and Accommodation
• Travel Arrangements: Participants are responsible for making their own travel arrangements to and from the retreat location unless otherwise specified in the retreat package.
• Accommodation: No accommodation is provided for the Wellness Retreat.
Behaviour and Code of Conduct
• Respect and Consideration: Participants are expected to behave in a respectful and considerate manner toward the retreat facilitators and fellow participants.
• Disruptive Behaviour: The organizers reserve the right to remove any participant who is disruptive or behaves inappropriately, with no refund.
Location and Use of the Facilities
The facilities are available for hire by our customers so that they can train or exercise within the confines of the Wellness Retreat (the “Permitted Purpose”). Any use of the facilitiesother than the Permitted Purpose is prohibited without our express prior permission. During your retreat we allow you a right to access and use the facilities for the Permitted Purpose. This right ceases at the end of your hire period.
All persons using the sauna do so at their own risk. If you have any reservations regarding sauna use, such as medical conditions, underlying health problems, the use of prescription drugs or pregnancy, it is essential that you consult your GP before making a booking.
Alcohol, nudity and smoking are not permitted in the sauna. Jewellery should be removed before entering the sauna to prevent burning. Exposure to hot equipment, slippery surfaces, hot & cold temperatures is done so at your own risk
No children between are permitted to use the saunas
Sauna etiquette must be adhered to at all times. This includes;
• Sauna sessions of no longer than 20 min at a time (we recommend 5-15 min sessions)
• Following operators’ instructions on how to pour water onto hot rocks
• Only pouring the provided ‘sauna water’ on hot rocks and nothing else
• Entering and exiting sauna in a safe manner
• Keeping access points clear to allow other users to exit safely and swiftly if needed
• Remove shoes prior to entering the sauna and ensure feet are clean
• Not touching any part of the stove
• Sitting on a towel within the sauna
• Behaving in a respectful way to all other bathers
• Rinsing prior to using any cold plunge baths, if provided
All persons using the ice bath, sea or river as a ‘cold plunge’ do so at their own risk. It is your own responsibility to ensure that you are a capable swimmer and can handle being exposed to the cold temperatures and currents of the sea. No under 16’s allowed in Ice baths/Plunge Pool /Cold showers
The Sauna Box operators reserve the right to refuse admission to intoxicated persons or for other reasons that may be deemed a health and safety risk. Refunds will not be offered to anyone refused admission.
Access to the Wellness Retreat …..
Your booking does not create any proprietary rights over theWellness Retreat and facilities, and we maintain control and possession of the premises at all times. We (and any of our employees, officers, agents or contractors) reserve the right to access the Wellness Retreat at any time.
3. Health and Safety
• Health Requirements: Participants must inform the retreat organizers of any medical conditions, allergies, or special needs at the time of booking. The retreat organizers are not responsible for any adverse health effects experienced during the retreat.
• Medical Assistance: In case of an emergency, participants will be provided with access to medical services, but all associated costs are the responsibility of the participant.
4. Liability and Indemnity
• Limitation of Liability: The retreat organizers are not liable for any injury, illness, loss, or damage sustained by participants during the retreat, except in cases of negligence by the organizers.
• Indemnification: Participants agree to indemnify and hold harmless the retreat organizers from any claims arising out of their participation in the retreat.
5. Behavior and Code of Conduct
• Respect and Consideration: Participants are expected to behave in a respectful and considerate manner toward the retreat facilitators and fellow participants.
• Disruptive Behavior: The organizers reserve the right to remove any participant who is disruptive or behaves inappropriately, with no refund.
6. Retreat Program
• Changes to Program: The retreat organizers reserve the right to alter the schedule, instructors, or location due to unforeseen circumstances. In such cases, the organizers will notify participants as soon as possible and will make reasonable efforts to provide a comparable experience.
• No Guarantee of Results: The organizers do not guarantee specific outcomes regarding wellness results or personal transformations.
Safety and Security
It is the responsibility of the hirer to notify us in advance of any hire period of any aggressive or potentially dangerous behaviours or health concerns of their dogs. We reserve the right to cancel a
booking and/or terminate any agreements for hire with immediate effect should we deem any dog(s) to be unsuitable due to their behaviour or health condition.
We ask that hirers ensure that the Paw Park is left clean and tidy after their use. Please ensure that you clean up after your dog by placing any litter in the litter and dog bins provided or taking it home with you. For waste management purposes only biodegradable bin bags are to be placed in our dog bin.
Children must be accompanied and supervised by an adult at all times.
It is the responsibility of our users to ensure that dogs are put on a lead prior to exiting the Paw Park.
We will use all commercially reasonable endeavours to ensure that the Paw Park is secure and this will include regularchecks of the gates, fencing and field. However due to the rural location of our premises it is possible that the integrity of the fencing and/or gates may become damaged by weather or the intervention of wildlife or unauthorised persons. We cannot provide any guarantee to users that your dog will not come into contact with any other wildlife during your hire (including parasites). We ask hirers to carry out a check of theintegrity of the fencing and field before each session and to immediately report any concerns to us using the emergency contact number. Please do not let your dog off its lead if you are not happy that the Paw Park field is adequately secured.
We strongly advise users of the Paw Park to insure their dog(s) to cover their period of hire for all circumstances including third party liability.
During your period of hire you must not carry out any alterations to the land. No open fires are allowed and the use of portable and/or disposable BBQs is prohibited. Smoking in the Paw Park is not permitted.
Please avoid the use of any objects which may come into contact and cause damage to any overhead electrical wires.
Our responsibility for loss or damage suffered by you
We are responsible to you for foreseeable loss and damage caused by us. If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking the contract between us or our failing to use reasonable care and skill, but we are not responsible for any loss or damage that is not foreseeable.
We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors and for fraud or fraudulent misrepresentation.
We will have no liability to you for any loss of profit, loss of business, business interruption, or loss of business opportunity.
How we may use your personal information
Photography and Media
• Consent for Photography: By attending the retreat, participants consent to being photographed or filmed for promotional purposes. If a participant does not wish to appear in any promotional material, they must notify the organizers prior to the retreat.
Privacy and Data Protection
• Personal Data: The organizers will only use personal data provided by participants for the purpose of retreat management. This information will not be shared with third parties without the participant's consent, except when required by law.
Other important terms
We may update these terms from time to time. Every time you wish to make a booking, please check these terms to ensure you understand the terms that apply at that time.
We may transfer our rights and obligations under these terms to another organisation. We will contact you to let you know if we plan to do this.
This contract is between you and us. No other person shall have any rights to enforce any of its terms.
If a court finds part of this contract illegal, the rest will continue in force. Each of the paragraphs of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.
Even if we delay in enforcing our rights under these terms, we can still do so at a later date. If we do not insist immediately that you do anything you are required to do under these terms, or if we delay in taking steps against you in respect of your breaking the contract between us which is governed by these terms, that will not mean that you do not have to do those things and it will not prevent us taking steps against you at a later date.
Governing Law
These terms, their subject matter and their formation, are governed by English law. You and we both agree that the courts of England and Wales will have exclusive jurisdiction to settle any dispute or claim (including non-contractual disputes or claims) except that if you are a consumer and resident of Northern Ireland you may also bring proceedings in Northern Ireland, and if you are a consumer and resident of Scotland, you may also bring proceedings in Scotland.
By making a booking you are agreeing to these Terms and Conditions.
10. Force Majeure
• The organizers are not responsible for any delay, cancellation, or failure to perform due to circumstances beyond their control, including but not limited to natural disasters, political unrest, or government restrictions.
